Microsoft 365 Migration Approaches We Run

The right approach depends on mailbox count, source environment, downtime tolerance and how quickly you need to be off the old system.

Get A Quote

All mailboxes move over a defined window, usually a weekend. Best for organisations under 150 users where a clean break is acceptable.

Batches of users move across in scheduled waves while others continue on the source environment. Useful for medium businesses where a full weekend cutover carries too much risk.
On-premise Exchange and Microsoft 365 run in parallel with mail flow and directory sync between them. Users move over gradually. Best for organisations over 150 mailboxes.
Encryption is applied to imaging data in transit and at rest. Off-site automated backups are configured for RIS and PACS. Scheduled compliance reviews cover the Australian Privacy Principles, Privacy Act 1988 and Diagnostic Imaging Accreditation Scheme requirements.

Used when the source is a generic IMAP mail platform without Exchange-compatible features.

What Happens at Each Stage

Discovery and Planning

We document your existing mail environment, file shares, user accounts, mailbox sizes, group structures, delegate permissions, third-party dependencies and any custom workflows. From that, you get a written plan covering the migration method, cutover date, DNS and MX record changes, licensing arrangement and rollback procedures. Nothing moves without your sign-off.

Data Preparation

Before migration starts, source data gets cleaned up. Stale mailboxes are archived or removed, oversized mailboxes reduced, orphaned accounts closed, distribution lists rationalised, and legacy attachments or public folder content triaged.

Migration Execution

Data moves in the background while your team keeps working. Depending on the approach, this runs over a single weekend, a series of weekend batches or a multi-week hybrid rollout. Migration jobs are monitored continuously, and data gets validated as it lands in Microsoft 365.

Cutover and DNS Changes

MX records point to Microsoft 365, Autodiscover redirects to Exchange Online, user devices reconfigure to the new tenant, and the source environment gets frozen. Cutover happens during a scheduled window, and we stay online through the following business day to catch anything unexpected.

Post-Migration Setup and Ongoing Support

Once users are working in the new tenant, remaining setup covers policy configuration: conditional access, MFA enrolment, mobile device management via Intune if in scope, retention policies and end-user training. Ongoing managed support is available as a separate arrangement covering user management, licence changes, security posture and helpdesk.

No. During migration, users continue working from their current mail platform while data moves across in the background. The only interruption is a short window during the DNS cutover itself, usually done over a weekend, where mail is briefly queued rather than lost.

Yes. Your domain (example.com.au) moves across as part of the migration. Once we complete the DNS cutover, mail flows to Microsoft 365 automatically, and users keep their existing addresses.

Everything moves across. Mailbox contents including sent items and folders, calendar entries with recurring meetings, contact lists, delegate permissions, distribution lists, shared mailboxes and files in the source system all migrate with structure preserved.
