Migrations that need care

These move across but require planning:

  • Google Docs, Sheets, and Slides — convert to Word, Excel, and PowerPoint formats during migration. Most files convert cleanly. Complex formatting, scripts, and formulas sometimes need manual review after the move.
  • Shared Drives to SharePoint — shared team files migrate to SharePoint document libraries. Permissions and folder structure need to be mapped and tested.

  • Complex Gmail filters and rules — basic filters recreate in Outlook rules, but heavily customised filter setups may need manual configuration.
  • Google Sites — don’t migrate directly to SharePoint. If you have internal sites, we assess whether they need rebuilding.

How We Handle the Migration

1. Discovery and Audit

We start by understanding what you’ve got. How many users, how much data in Gmail and Google Drive, what shared drives exist, which third-party apps integrate with Google Workspace, and whether you have custom scripts or automations. This tells us the scope of the migration and where the tricky parts are.

2. Environment Setup

We set up your Microsoft 365 tenant, configure licensing for each user, verify your domain, and provision accounts in Entra ID. If you need security policies (conditional access, MFA, Intune), we configure those before anyone starts using the new environment.

3. Staged Data Migration

We don’t move everyone at once. We start with a pilot batch, typically a small group of users, to validate that email, files, calendars, and contacts migrate correctly. Once confirmed, we migrate the rest of your team in stages. During the migration period, both Google Workspace and Microsoft 365 run in parallel so your team isn’t disrupted.

4. DNS Cutover

Once all data is migrated and validated, we switch your MX records so new email flows to Exchange Online instead of Gmail. We schedule this after hours and monitor it closely. From your team’s perspective, they open Outlook the next morning and everything is there.

5. User Training and Handover

Your team gets a walkthrough of Outlook, Teams, OneDrive, and SharePoint. We focus on the things that work differently from Google Workspace so people aren’t guessing. We also set up their devices (desktop, mobile) and make sure everyone can access what they need from day one.

6. Post-Migration Validation

After cutover, we check email flow, file integrity, calendar accuracy, permissions, and shared resources. We stay available for the first few weeks to catch anything your team runs into as they settle in.

  • Larger or complex environments (100+ users): 4 to 8 weeks. More users, more data, more integrations, more testing.

 

Things that add time: large Google Drive volumes, complex shared drive permissions, Apps Script automations that need rebuilding, and heavy reliance on Google-specific tools.

Things that don’t: the actual email migration runs in the background and doesn’t interrupt your team’s work. The cutover itself typically happens overnight.
